Help! Printer Offline.

Too many times have I heard of this problem, it’s extremely common for printers to appear as ‘offline‘ and it can be a pain to sort out. So if you have or are currently experiencing this problem then read on.

There are a number of reasons why your computer is displaying that the printer is offline or in offline mode. The quickest and very first thing you should do is to simply unplug the printer from your computer, restart both devices and then connect them back up. This could very possibly solve the issue as it’s a possibility that they we’re just not communicating properly due to not being connected properly.

If that didn’t work then you need to see if you can get the printer to come back online. This process is fairly simple:

  • Go to the windows control panel on your computer, to do this click ‘Start’ button, then click ‘Control Panel’.
  • Select ‘Hardware and Sound’.
  • Select ‘Devices and Printers’, ‘Printers’ or ‘Faxes and Printers’.
  • Find the printer you are using and right click on it.
  • If visible, select ‘Use Printer Online’
If you are using Windows 7 then the you can access the same option by double clicking on the printer you are using, selecting ‘Printer’ from the top menu and make sure that the ‘Use the Printer Offline’ is unchecked.

This should turn your printer back online. If not there are still a few more things we can try. If the issue does persist then the next step is to update all your printers drivers, if they are not up to date it may be causing communication problems between the computer and the printer, so updating them may help. You can usually download your printers drivers from the manufacturers website.

If this doesn’t work, try clearing the documents that are waiting to be printed if there are any. To do so simply double click on your printer. If you are using Windows XP, click ‘Printer’ and then ‘Cancel All Documents’, if you are using Windows 7 then select ‘See What’s Printing’, ‘Printer’ and then ‘Cancel All Documents.

After trying all of these, your printer is now probably working. If not then there is one last thing that could be causing the issue… A faulty cartridge. We have seen this a number of times when testing products and a faulty cartridge can indeed confuse the printer and cause it to go offline, so if nothing else has worked so far, then try replacing your printer cartridges.
